Open Administration →PLATFORM REFERENCE GUIDE
One guide for every learning role
Follow the correct workflow for platform administration, cohort instruction, or course participation. Each section explains permissions, prerequisites, handoffs, and common problems.
START WITH THE ROLE
Who is responsible for each stage
Manages authorized cohorts, instructor assignments, course offerings, and learner enrollment within one organization.
Open organization setup →Supports assigned cohorts, enrolls existing learners into assigned open offerings, reviews work, runs tutoring, and responds to help requests.
Open Instructor workspace →Completes lessons, assignments, assessments, tutoring activities, and credential requirements within an active enrollment.

Prepare access in the correct order
- 1
Choose or create the learning account
Open Administration and select the organization-sponsored account you intend to manage. Personal accounts are designed for one learner; use an organization account for multi-learner cohorts.
- 2
Appoint registered instructors
Under Staff Role Management, enter the email address used by an active registrant. The platform protects existing learner history and will not silently convert an enrolled learner into an instructor.
- 3
Create the cohort
Give the group a clear name that identifies its program, audience, or start period. A cohort is the boundary used for instructor access and course delivery.
- 4
Assign the instructor
Select the cohort and an active instructor. An instructor sees only cohorts assigned to that instructor.
- 5
Create and open a course offering
Open Course offerings, pair the cohort with a published course release, create the draft offering, and then open it for enrollment. Draft, closed, and archived offerings cannot accept learners.
- 6
Provision and enroll learners
Confirm each learner has an active membership in the same learning account. Select the open offering and learner in Administration. If no learner appears, the platform administrator must provision or connect the registrant first.
- 7
Monitor delivery
Use organization progress, assignment and assessment review, support queues, certificates, and audit-aware status controls to oversee learning without altering historical evidence.
INSTRUCTOR AND TUTOR GUIDE
Deliver learning within assigned cohorts
- 1
Confirm assigned scope
Open the Instructor workspace and select only the learning accounts, cohorts, and offerings assigned to you. Contact an administrator if the expected cohort is missing.
- 2
Enroll an existing learner
In Cohort Enrollment, select the learning account, an open offering in your assigned cohort, and an active learner. Instructors cannot create learner identities, publish courses, or open offerings.
- 3
Support learning
Review lesson assignments and practical assessments, provide learner-visible feedback, keep private staff notes separate, and request revision when evidence is incomplete.
- 4
Supervise the AI Tutor
Review flagged or sampled exchanges. Approve, revise, or reject reusable guidance; learner feedback never trains the system or changes curriculum automatically.
- 5
Run live tutoring
Schedule secure Zoom sessions, communicate preparation and joining instructions, manage reservations, and cancel sessions when necessary.
- 6
Respond and escalate
Answer assigned help requests, monitor progress, and escalate account, payment, certificate, safeguarding, or policy decisions to an administrator.
LEARNER GUIDE
Complete the full course journey
- 1
Register and enroll
Use an email address you control. Complete secure checkout or accept organization-sponsored access, then sign in with the same account.
- 2
Open the correct course
Go to My learning, choose the learning account and enrollment, and open the course. Complete modules and lessons in the published order.
- 3
Learn actively
Read the objectives, detailed class notes, demonstrations, guided practice, trusted references, and lesson activities. Complete the final project for the course.
- 4
Submit work
Enter the assignment response or a view-only evidence link. Remove confidential information before submitting and monitor Practice for review status.
- 5
Use feedback
Read learner-visible feedback, revise when requested, and resubmit. Private instructor notes are never displayed to learners.
- 6
Use supervised AI support
Choose the current course and lesson in AI Tutor, then select Teach, Summarize, Practice, Example, or Revision Plan. Important decisions remain with instructors and administrators.
- 7
Complete assessments
Take required knowledge checks and practical assessments. Review recommended lessons before another attempt when a score is below the requirement.
- 8
Earn and verify credentials
Use Progress to confirm that lessons, assignments, and assessments are complete. Download eligible course certificates and verify public credentials using their unique number.

What each role can do
TROUBLESHOOTING
Resolve common setup and learning problems
A dropdown says “No available records.”
Confirm the selected learning account is correct. For instructor enrollment, the account must contain an active learner, an open course offering, and a cohort assigned to that instructor. Ask an administrator to complete the missing prerequisite.
I see “Access denied.”
Refresh after a role change, then verify you are signed in with the correct email. Administrators should confirm the role is active and connected to the selected organization. Instructors should confirm the cohort assignment.
An instructor cannot see a course offering.
The offering must belong to the instructor’s assigned cohort. It must be open before enrollment. Only an administrator can create the offering or change its availability.
A learner cannot see an enrolled course.
Confirm the learner used the same account connected to the enrollment, the offering remains open, and the enrollment is active. After payment or a new assignment, refresh My learning once.
Assignment feedback is missing.
Check Practice and the original lesson. Awaiting review means an instructor has not completed the review. Learner-visible feedback appears after review; private staff notes never appear in the learner workspace.
The AI Tutor answer does not match the lesson.
Choose the correct course and lesson again. Changing the lesson clears previous lesson context. Select the appropriate Learning Studio tool, then report an unsuitable response using Not helpful or Ask an instructor.
A certificate is not available.
Open Progress and verify every required lesson, assignment approval, and assessment pass. Program credentials may also require all specified course certificates before issuance.
